Program Overview

Introduction to Erasmus+ SMS

The Erasmus+ SMS (Student Mobility for Studies) program allows students to complete part of their regular studies at a foreign higher education institution. This program is available to students of the University of Ljubljana's Veterinary Faculty.

What is Erasmus+ SMS?

Erasmus+ SMS enables students to carry out part of their regular study obligations at one of the higher education institutions with which the Veterinary Faculty has concluded an inter-institutional agreement. The mobility period for studies and/or training can last up to 24 months for a single master's study program and up to 12 months for a doctoral study program.

General Information

For more information, please refer to the University of Ljubljana's website.

Conditions and Deadlines for Application

To apply for the Erasmus+ study exchange, students must submit their application within the deadline specified in the call. The call is published on the International Activities website under Notices (Erasmus+ Calls).

Eligibility Criteria

To be eligible, students must:

  • Be enrolled at the University of Ljubljana's Veterinary Faculty (have an active student status),
  • Be enrolled in at least the second year of undergraduate studies (and at least the third year during the exchange),
  • Not have exceeded 24 or 12 months of study or training mobility at the bachelor's or master's level, respectively,
  • Have settled all financial obligations related to the Erasmus+ program.

Where Can I Study?

Erasmus+ study exchanges can be carried out at one of the foreign universities with which the Veterinary Faculty has concluded an inter-institutional agreement for the purpose of study exchanges. Available options for undergraduate students include:

  • University of Veterinary Medicine Vienna (Austria)
  • University of Copenhagen, Faculty of Health and Medical Sciences, School of Veterinary Medicine and Animal Science (Denmark)
  • Lithuanian University of Health Sciences, Faculty of Veterinary Medicine (Lithuania)
  • University of Veterinary Medicine Budapest (Hungary)
  • University of Veterinary Medicine Hannover, Foundation (Germany)
  • Catholic University of Valencia "San Vicente Mártir", Faculty of Veterinary Medicine (Spain)

Detailed information for each institution can be found in the agreements and links on the Mobility by Country website.

Financial Support

Selected Erasmus+ program students are not automatically entitled to Erasmus+ financial support. The Veterinary Faculty nominates the selected student to the University of Ljubljana, and the student must apply for Erasmus+ financial support and possible additional grants through the VIS UL online application. After submitting the application documents, the student and the University of Ljubljana sign an Erasmus+ grant agreement, which defines the student's rights, obligations, and responsibilities regarding the financial support.

Financial support can only be granted for the duration of study obligations abroad. Students are entitled to Erasmus+ financial support only during physical mobility (not virtual mobility). The amount of Erasmus+ financial support depends on the mobility country (based on living costs).

Students who receive an Erasmus+ grant are still eligible to receive other potential scholarships (state, Zois, personnel, etc.).

Financial support must be paid to the student before the start of mobility; therefore, all documentation must be arranged at least 10 days before the start of mobility.

Students handle all matters related to Erasmus+ financial grants with the University of Ljubljana. In case of uncertainty, they should contact the responsible person at the University of Ljubljana.

Online Linguistic Support

The Erasmus+ online linguistic support (Online Linguistic Support - OLS) allows students to assess and evaluate their language skills, which they will use during mobility.

All selected Erasmus+ students, except native speakers, must complete an online language assessment before and after the mobility period, using the main language they will use for study purposes, through the OLS portal. The assessment result is a component of the application and final documentation.

If the language proficiency test result is B1 or lower, the student is automatically assigned an online language course. Other students have the option of an online course based on their expressed desire, choosing either the main mobility language or the language of the host country. If the result of the pre-mobility language assessment is C2, the student does not need to complete the post-mobility language assessment.

Students handle all matters related to Erasmus+ online linguistic support with the University of Ljubljana. In case of uncertainty, they should contact the responsible person at the University of Ljubljana.

Application Procedure

To apply for the Erasmus+ study exchange, students must submit their application within the deadline specified in the call. The call is published on the International Activities website under Notices (Erasmus+ Calls). Instructions for submitting the application are provided in the call.

To apply, students must:

  • Complete the e-application through the VIS portal and attach:
    • Confirmation of completed exams, which can be printed from the VIS portal,
    • A motivational letter, and
    • Confirmation of an adequate level of foreign language knowledge, which will be used during the exchange (students can attach their high school diploma, which shows their foreign language grade, or the confirmation of completed exams with a foreign language grade, or another formal certificate of acquired language level).

The completed application (printout from the VIS portal) with all required documents (confirmation of completed exams, motivational letter, and confirmation of foreign language knowledge) should be submitted to the Department for Student Affairs and Mobility.

The Commission for International Cooperation will evaluate the applications, considering academic achievement (0-10 points), motivation (0-10 points), and language proficiency level (0-10 points). The results will be published on the International Activities website (under Notices - Erasmus+ Call Results), and students will also be notified of the selection decision by a decree.

Once the application for the Erasmus+ study exchange is approved, the Veterinary Faculty will nominate the student to the University of Ljubljana and the desired foreign institutions. The University of Ljubljana and foreign institutions will provide instructions for application and other important information. Students should carefully read and follow the received instructions and deadlines.

Recognition of Courses Completed Abroad

The minimum number of ECTS credits that students must obtain abroad and have recognized at the Veterinary Faculty is 20 ECTS per semester (or 40 ECTS for the entire academic year).

During the study exchange abroad, students can only complete courses from the year they are enrolled in during the exchange; they cannot complete courses from higher or lower years.

For the set of courses that replace compulsory courses at the Veterinary Faculty, students should review the course catalog of the foreign institution where they plan to complete the study exchange and, based on the Veterinary Faculty's course catalog, select comparable foreign courses. For the selected domestic and foreign courses, students should obtain syllabi. They can obtain the course catalog and syllabi of foreign courses directly from the foreign institution, and the course catalog and syllabi of compulsory courses at the Veterinary Faculty from the Department for Student Affairs and Mobility (by sending a request to and specifying the full course names for which they want to obtain syllabi).

Based on the syllabi of domestic and foreign courses, students should make a comparison and complete the Application for Recognition of Foreign Courses (Appendix 2 of the Instructions for International Mobility, available on the International Activities website under Instructions and Forms) following the instructions that are part of the application. The completed application in Word format, along with the syllabi of the mentioned courses, should be sent to the Department for Student Affairs and Mobility at . If the syllabi of foreign courses received from the foreign institution are not in English, students must provide (official or unofficial) translations of the syllabi into Slovenian or English and attach them to the application.

The Commission for Student Affairs of the Veterinary Faculty will decide on the application, approving or rejecting the recognition of each compulsory course at the Veterinary Faculty. Based on the list of approved courses, students can complete the study agreement for studies. For all compulsory courses at the Veterinary Faculty whose recognition was rejected by the Commission for Student Affairs, students can submit a new application for recognition of foreign courses.

For the set of courses that replace elective courses at the Veterinary Faculty, students can freely choose courses available at the foreign institution, except for courses they have already completed or are completing at the Veterinary Faculty. The selected foreign courses must have the same or higher number of ECTS credits than the elective courses at the Veterinary Faculty.

If students want to attend additional educational content abroad beyond what is required for their study program, the additional ECTS credits must also be listed in their study agreement for studies.

Before, During, and After Mobility

Once accepted for the study exchange, students should prepare a tripartite study agreement for studies (in accordance with the agreements on recognition of exams at the Veterinary Faculty). The completed study agreement should be submitted to the Department for Student Affairs and Mobility for review. The properly completed document should be signed and submitted to the Office for Research and International Cooperation, which will obtain the signature of the responsible person at the Veterinary Faculty.

Before departing, students should verify that they have arranged everything necessary (according to the instructions of the Veterinary Faculty, the University of Ljubljana, and the foreign university) and notify the Department for Student Affairs and Mobility.

During the study exchange, students should follow the requirements and instructions of the foreign university. In case of problems, complications, or questions, they should contact the Department for Student Affairs and Mobility.

If students withdraw from the study exchange for any reason, they must immediately notify the Department for Student Affairs and Mobility, the contact person at the University of Ljubljana, and the responsible person at the foreign university where the mobility is planned or has started.

Changes to the study program can occur during the mobility period (non-completion of selected courses or completion in a different language than planned, overlap of courses in the schedule, etc.). Changes to the study agreement are possible within one month from the start of each semester. The student, the responsible person at the Veterinary Faculty, and the responsible person at the foreign university/faculty must confirm the changes with their signatures.

If the change involves an extension of the study exchange period, students must submit the request at least one month before the planned end date of the mobility.

Students should carry out their mobility in accordance with the requirements and instructions of the foreign university. In case of problems, complications, or questions, they should contact the Department for Student Affairs and Mobility.

If students withdraw from the study exchange for any reason, they must immediately notify the Department for Student Affairs and Mobility, the contact person at the University of Ljubljana, and the responsible person at the foreign university where the mobility has started.

After Mobility

After returning from the mobility abroad, students should notify the Department for Student Affairs and Mobility and submit:

  • Confirmation of completed mobility (Letter of Confirmation),
  • Confirmation of completed exams (Transcript of Records) along with the legend for grade conversion (Grading system),
  • The form for Grade Conversion and Decision on Recognition of Foreign Courses (Appendix 3 of the Instructions for International Mobility, available on the International Activities website under Instructions and Forms), completed according to the instructions that are part of the application,
  • A presentation of Student Exchange Experiences (the presentation template is available as Appendix 4 of the Instructions for International Mobility on the International Activities website under Instructions and Forms),
  • Other potential documentation received at the foreign university.

Based on the received documentation, the Department for Student Affairs and Mobility will complete the remaining part of the form for Grade Conversion and Decision on Recognition of Foreign Courses, which will be signed by the Erasmus+ coordinator of the Veterinary Faculty. The document will be issued to the student as confirmation of recognized obligations and submitted to the referent of the Veterinary Faculty, who will enter the grades into the VIS system.

Study Agreement for Studies

Once the application for the Erasmus+ study exchange is approved and courses are selected, students should complete the study agreement for studies (Learning Agreement for Studies).

The use of a digital study agreement for studies is mandatory. When preparing it, students should follow the instructions of the host faculty/university and complete the document in their system or prepare it on the Online Learning Agreement - OLA platform.

To facilitate the completion of the study agreement, a template has been filled in with the basic data of the University of Ljubljana's Veterinary Faculty, which can be copied into the digital study agreement. Official instructions for completion (in English) are also available. Additional and specific information required for completion is described in the following section.
